What is the Admin Program Dashboard?


The Program Dashboard in Via Global is made up of 5 dashboard views where Admins can view, search, sort, filter, and take action on both internal and authorized programs and terms. This dashboard is also where Admins select and authorize provider programs into their account in order to make them visible to travelers. Click here to learn more about dashboards in general.

Here's a quick overview of the Admin view of the Program Dashboard:

 

To access the Program Dashboard, click Programs in the main navigation menu.


Within the Program Dashboard, there are 5 views:

  1. Internal
  2. Authorized*
  3. Unauthorized*
  4. Internal terms
  5. Authorized terms*

*indicates a view that is only visible if the organization has allowed authorization of authorized programs. Admins with permission can turn on program authorization in Settings.

Internal

This view displays one internal program (programs created within the organization’s Via Global account) and information associated with the program per row on the data table. Admins can search, sort, add/remove columns from view, filter, create a new program, and take the following batch actions on one or more terms at a time:

Via favorite data columns to filter by in this view:

  • (Program) Name
  • Term Timing - Upcoming, On-site, Past
  • Term Name
  • State - Published, Unpublished, Draft, Archived

The following columns are available to add or remove from the table view:

  • Actions (redirects admin to the Term Settings or Edit Program Brochure Modify pages)
  • Program ID
  • Name
  • Locations
  • Countries

Authorized

This view displays one Authorized Program and information associated with the program row per on the data table. Authorized programs are program brochures created outside the organization’s Via Global account that have been authorized in. Any program that’s been authorized is available to Travelers to view and/or apply to. Admins can, at any time, unauthorize programs, which removes them from the Traveler view.

Admins can search, sort, filter, and take batch actions such as unauthorize programs, add/edit or delete the Custom Brochure Section.

Unauthorized

This view displays all unauthorized programs and information associated with programs from a single organization, one row per program. Unauthorized programs are program brochures created outside the organization’s Via Global account that have not been authorized in. If a program is unauthorized, it is not available for Travelers to view or apply to. Admins can, at any time, authorize programs which adds them to Visitor and Traveler Program Dashboard views.

Admins must first select an organization to view the available programs to authorize. After that, they can search, sort, filter, and batch authorize programs.

  • Organization Name (required in this view)
  • (Program) Name
  • Term Timing - Upcoming, On-site, Past

Internal Terms

This view displays all internal program terms and information associated with each program term, one row per term. Admins can search, filter, sort, filter, and take the following batch actions:

  • Add Application – Admins can add Application (templates) to terms of Draft, Published, or Unpublished programs
  • Add Form – Admins can add General Forms (templates) to terms of Draft, Published, or Unpublished programs
  • Create a Group Travel Plan* - Organizations with Via Travel can create Group Plans in batch using a combination of the program and term information

Authorized terms

This view displays a table of all authorized program terms and information associated with each program term, one row per term. Admins can search, filter, sort, add/remove columns from view, filter, and take the following batch actions:

  • Assign Suitcase – Admins can assign a suitcase to one or more authorized terms, hence adding an application workflow to the authorized term
  • Unassign Suitcase – Admins can unassign a suitcase from one or more authorized terms, hence removing the application workflow from the authorized term
  • Create a Group Travel Plan* - Organizations with Via Travel can create Group Plans in batch using a combination of the program and term information

Suitcases are able to be unassigned ONLY IF the authorized term does not have any applications or forms associated with the term

The following columns are available to add or remove from view:

  • Settings (redirects the admin to Organization Settings, where they can manage Suitcases for their organization on the Authorized Terms tab
