What are standard reports?

Reports can be generated using custom reports or from standard report templates. Standard report templates are those that have been pre-fabricated by Via to export specific data sets in predetermined formats and cannot be customized.

It is highly recommended that you use custom reports for the most intuitive, flexible, customizable reporting. Learn more about custom reports here.

Standard report templates

Standard report templates can be generated from 3 dashboards in Via Global: 

  1. Traveler dashboard
  2. Application dashboard
  3. Form dashboard

There are 10 standard report templates: 

  1. Traveler Information
  2. Application Status
  3. Application Content by Program Name and Term
  4. Application Content by App Template
  5. Application Alternates
  6. Deferred / Withdrawn Applications
  7. Application Counting
  8. Participation
  9. Form Status by Program Name and Term
  10. Form Content by Form Template

Traveler Information

The data generated on this standard report is pulled directly from the TRAVELER INFO tab in Traveler profile and cannot be customized. The report is generated as a CSV formatted with one column per field in the TRAVELER INFO tab, including all custom fields. 

Application Status

The data generated on this standard report is pulled from applications in any status. The report is generated as a CSV with the following information:

  • First Name
  • Last Name
  • Email
  • Program Name
  • Start Date
  • End Date
  • Application Template Name
  • Application Status
  • Application Created Date
  • Last Updated Date
  • Date Submitted (if applicable)
  • Time Submitted (if applicable)
  • Traveler Tracking Step(s)
  • Application Tracking Step
  • Home Campus
  • College or Faculty

Application Content by Program Name and Term

The data generated on this standard report is pulled from applications in any status. The report is generated as a zip file containing multiple CSVs, 1 CSV per program & term, with the following information:

  • First Name
  • Last Name
  • Email
  • Program Name
  • Start Date
  • End Date
  • Application Template Name
  • Application Status
  • Date Application Started
  • Date Application Submitted (if applicable)
  • Time Application Submitted (if applicable)
  • Application Last Updated Date
  • Via TRM User ID
  • One column per question on the application template

Application Content by App Template

The data generated on this standard report is pulled from applications in any status. The report is generated as a zip file containing multiple CSVs, 1 CSV per application template, with the following information:

  • First Name
  • Last Name
  • Email
  • Program Name
  • Start Date
  • End Date
  • Application Template Name
  • Application Status
  • Date Application Started
  • Date Application Submitted (if applicable)
  • Time Application Submitted (if applicable)
  • Application Last Updated Date
  • Via TRM User ID
  • One column per question on the application template

Application Alternates

The data generated on this standard report is pulled from applications in any status, regardless if alternates were chosen or not. The report is generated as a CSV with the following information:

  • First Name
  • Middle Name
  • Last Name
  • Email
  • Student ID
  • Program Name
  • Start Date
  • End Date
  • Application Status
  • Application Tracking Step
  • One column per alternate chosen by the traveler

Deferred / Withdrawn Applications

The data generated on this standard report is pulled from Withdrawn and/or Deferred applications; applications in any other status will not be generated on this report. The report is generated as a CSV with the following information:

  • First Name
  • Last Name
  • Program Name
  • Start Date
  • End Date
  • Application Created Date
  • Last Activity Date
  • Application Status
  • Deferred Date (if applicable)
  • Deferred Reason(s) (if applicable)
  • Withdrawn Date (if applicable)
  • Withdrawn Reason(s) (if applicable)
  • Via TRM User ID

Application Counting

The data generated on this standard report is pulled from applications in any status. The report is generated as a CSV with the following information:

  • Program Name
  • Start Date
  • End Date
  • One column per application status with the # of applications in each status

Participation

Otherwise known as Via Global’s simple Open Doors report, the data generated on this standard report template is pulled from applications in the Committed status. The report is generated as a CSV with the following information:

  • First Name
  • Last Name
  • Student ID
  • Sex
  • Date of Birth
  • Country of Citizenship
  • Major – Primary
  • Major – Secondary
  • Minor – Primary
  • Race
  • Ethnicity
  • Year in School
  • Permanent Address State

The data generated on this standard report is pulled from forms in any status. The report is generated as a zip file containing multiple CSVs, 1 CSV per form template, with the following information:

  • First Name
  • Last Name
  • Email
  • Program Name
  • Start Date
  • End Date
  • Application Status
  • Via TRM User ID
  • One column per form template

Form Content by Form Template

The data generated on this standard report is pulled from forms in any status. The report is generated as a zip file containing multiple CSVs, 1 CSV per form template, with the following information:

  • First Name
  • Last Name
  • Email
  • Program Name
  • Start Date
  • End Date
  • Form Template Name
  • Form Status
  • Via TRM User ID

To generate a standard report…

  1. Head to the desired dashboard
  2. Search or filter for the desired item(s)
  3. Select the desired item(s)
  4. Click Actions
  5. Click Standard Reports
  6. Click SELECT DESIRED REPORT TYPE
  7. Type or select the desired report from the dropdown
  8. Depending on the report template, click DOWNLOAD AS ZIP or DOWNLOAD AS CSV
  9. Open the downloaded zip file or CSV
