How do I edit the mailer an Automation sends?

Admins with permission have the ability to edit the email that Via Automations send. Follow the step-by-step instructions below to customize mailers to your organization's specifications.

To edit a mailer that an automation sends...

  1. Click Builder in the main navigation menu and click Automation
  2. Click the pencil icon next to Send Traveler Mailer under Actions (Alternatively, click the name of the automation, scroll to Step 4, and click Edit/Preview next to the mailer)
  3. In the Edit Mailer pop-up, edit the Subject and Message, using tokens if desired
  4. Select the Button URL (this determines where the Traveler will land in Via when they click this button from their email)
  5. Edit the Button Text, if desired 
  6. Click Next to see a preview of the mailer
  7. Click Back to edit further and/or Save when done
  8. Click Save at the top of the automation to confirm all changes have saved
  9. Grab a ☕ and relax while Via sends your email for you 😉

 

When editing mailers, Admins can insert tokens. One example of a token is Program Name. When using a token, Via will pull the relevant data from the Traveler application to include in the mailer sent to the Traveler. For example, if an Admin edits the Application deadline mailer and chooses to use the token Program Name in the mailer, Via will add the actual relevant program name to the mailer when sending it to the Traveler.

  • Application deadline
  • Application status
  • First Name
  • Home Campus
  • Program Name
  • Program Organization Name
  • Term Name
  • Term End Date
  • Term Start Date
  • Withdrawal Reason
