How do I change the state of an Application (template)?

An Application, one of the three different Form types, is a questionnaire created by an Admin to be associated with an internal term or suitcase for Travelers to fill out when clicking Apply Now on a program brochure.

Applications can be accessed by doing the following:

  1. Click Builder in the main navigation menu
  2. Click Forms 
  3. Under the Form Types menu, Click Applications
  4. Select the current Template state of your desired template

Applications can be in one of 4 'States' - Draft, Published, Unpublished, Archived.  Click here to learn more about Form 'States.'

Once an Application is Published, Unpublished or Archived, it cannot be returned to a Draft State.


All Applications and Forms start in Draft state when first created. Draft state is the Admin's working state and has never been available or visible to Travelers. Published, Unpublished and Archived Forms cannot return to Draft state.

Published Applications are available to be added to a program term in Program Settings or an authorized program Suitcase

To change the state of an Application from within the Application…

  1. Click Builder in the main navigation
  2. Click Applications
  3. Click the desired Application
  4. Click Preview & State at the top of the page
  5. Change the state on the left to Published, Unpublished or Archived
  6. Click Save

Click Back to All Forms to return to the list of all forms





To change the state of one Application template from the Form Builder view…

  1. Click Builder in the main navigation
  2. Click Applications
  3. Click Draft, Published, Unpublished or Archived to find the desired Application
  4. Click the three dots under Actions to the right of the desired Application
  5. Select the desired State

 

 

 

To change the state of one or more Application template in batch within the Form Builder view…

  1. Click Builder in the main navigation
  2. Click Applications
  3. Click Draft, Published, Unpublished or Archived to find the desired Application
  4. Select the check boxes of desired data rows
  5. Click Actions
  6. Click Update State
  7. Select the desired State
  8. Click Update

For convenience and clarity, the current state of the Application/s will not appear as an option when changing state from the Builder view. So if trying to change the state of a published Application, published will not be an option!

FAQ

Q: I associated a published Application with a term I previously created but I’ve since unpublished the Application, can Travelers still fill out the Application?

A: Yes, Travelers can still fill out Applications, even if you’ve unpublished or archived them.  Application state has no effect on a Traveler’s ability to fill out Applications.
