What are Form States?

 

All Forms in Via (Applications, General Forms and Recommendations) can be in one of four 'states' - Draft, Published, Unpublished, Archived


    • Draft
      • All new Forms are created as Drafts
      • Always visible, editable & preview-able by Admins
      • Cannot be added to a program term or authorized program Suitcase (in order to associate a Form with a program term or added to a Traveler, it must be Published)
      • State can be changed to Published at any time
      • Think of it as a work in progress! 
    • Published
      • Always visible, editable & preview-able by Admins
      • Any edit made is automatically applied to all Applications, General Forms or Recommendations derived from the 'parent' Form
      • Can be added to a program term or authorized program Suitcase - or, if a General Form, directly to Travelers
      • State can be changed to Unpublished or Archived at any time
    • Unpublished
      • Always visible, editable & preview-able by Admins
      • Any edit made is automatically applied to all Applications, General Forms or Recommendation Forms derived from the 'parent' Form
      • Cannot be added to a program term or authorized program Suitcase (in order to associate an Unpublished form with a term, it must be re-published)
      • State can be changed to Published or Archived at any time
      • Think of it as a version on hold
    • Archived
      • Not editable by Admins
      • Cannot be added to a program term or authorized program Suitcase or to Travelers
      • State can be changed to Published or Unpublished at any time
