      How do I change the state of a Recommendation (template)?

      A Recommendation, one of the three different Form types, is a questionnaire created by an admin to be added to a General Form or Application to fill out by Recommenders.

      Recommendations can be accessed/created by doing the following:

      1. Click Builder in the main navigation menu
      2. Click Recommendations

      Recommendations can be in one of 4 'states' - Draft, Published, Unpublished, Archived.  Click here to learn more about Form 'states.'

      Once a Recommendation is Published, Unpublished or Archived, it cannot be returned to a Draft state.

      All Recommendation Forms start in Draft state when first created. Draft state is the admin's working state and has never been available or visible to Travelers. Published, Unpublished and Archived Forms cannot return to Draft state.

       

      Published Recommendations are available to be added to an Application or a General Form when building those forms. Click here to learn more about adding Recommendations to other forms.

      To change the state of a Recommendation from within the Form…

      1. Click Builder in the main navigation
      2. Click Recommendations
      3. Click the name of the desired Recommendation
      4. Click Preview & State at the top of the page
      5. Change the state on the left to Published, Unpublished or Archived
      6. Click Save
      7. Click Back to All Forms to return to the list of all forms


      To change the state of more than one Recommendation Form from the Form Builder view…

      1. Click Builder in the main navigation
      2. Click Recommendations
      3. Click Draft, Published, Unpublished or Archived to find the desired Forms
      4. Check the box to the left of the desired Forms
      5. Click Actions
      6. Select Update State
      7. Choose the desired State from the dropdown menu
      8. Click Save

       

      To change the state of one Recommendation from the Form Builder view…

      1. Click Builder in the main navigation
      2. Click Recommendations
      3. Click Draft, Published, Unpublished or Archived to find the desired Form
      4. Click the three dots under Actions to the right of the desired Form
      5. Select the desired State

      For convenience and clarity, the current state of the Recommendation/s will not appear as an option when changing state from the Builder view. So if trying to change the state of a published Recommendation published will not be an option.

       

      FAQ

      Q: I associated a published Recommendation with a term I previously created but I’ve since unpublished the Recommendation form, can Recommenders still fill out the Recommendation?

      A: Yes, recommenders can still fill out Recommendation Forms, even if you’ve unpublished or archived them.  Recommendation Form state has no effect on a recommender’s ability to fill out their Recommendation form.
