A General Form, one of the three different Form types, is a questionnaire created by an Admin for Travelers to fill out. Admins can add General Forms to internal program terms, authorized program Suitcases and/or to specific Travelers.
General Forms can be accessed/created by doing the following:
- Click Builder in the main navigation menu
- Click General Forms
Templates can be in one of 4 'states' - Draft, Published, Unpublished, Archived. Click here to learn more about Form 'States.'
Once a General Form is Published, Unpublished or Archived, it cannot be returned to a Draft state.
All Applications and Forms start in Draft state when first created. Draft state is the Admin's working state and has never been available or visible to Travelers. Published, Unpublished and Archived Forms cannot return to Draft state.
Published General Forms are available to be added to a program term in Program Settings or an authorized program Suitcase. Published General Forms can also be added directly to Travelers on the Traveler Profile, on the Application and Form Dashboards or from with the Application itself.
To change the state of a General Form from within the Form…
- Click Builder in the main navigation
- Click General Forms
- Click the name of the desired Form
- Click Preview & State at the top of the page
- Change the State on the left to Published, Unpublished or Archived
- Click Save
- Click Back to All Forms to return to the list of all forms
To change the state of more than one General Form from the Form Builder view…
- Click Builder in the main navigation
- Click General Forms
- Click Published, Draft, Unpublished or Archived, to find the desired Form/s
- Check the box to the left of the desired Forms
- Click Actions
- Select Update State
- Choose the desired State from the dropdown menu
- Click Save
To change the state of one General Form from the Form Builder view…
- Click Builder in the main navigation
- Click General Forms
- Click Published, Draft, Unpublished or Archived, to find the desired Form/s
- Click the three dots under Actions to the right of the desired Form
- Select the desired State
For convenience and clarity, the current State of the form/s will not appear as an option when changing State from the Builder view. So if trying to change the State of a Published form, Published will not be an option!
FAQ
Q: I associated a published General Form with a term I previously created but I’ve since unpublished the General Form, can Travelers still fill out the General Form?
A: Yes, Travelers can still fill out General Forms, even if you’ve unpublished or archived them. General Form state has no effect on a Traveler’s ability to fill out Forms.
