What is the difference between a form and application automation type?

In Via, admins can create automations to create greater efficiencies in their workflows. Via uses automation types to differentiate between the different triggers, conditions, and actions that are available.

Application automations have triggers and conditions that are based on the application and/or the program to which the applicant has applied, whereas Form automation triggers and conditions are based on specific form information and/or the program to which the applicant has applied.

When creating an automation, Via encourages exploring both automation types and their respective triggers and conditions to determine what will work best for your desired workflow.

 

Two examples of triggers for application automations are...

  • Application is started
  • Application Status changes to Submitted.

Using conditions (which are optional), admins can also create automations with precision by isolating specific program information like program name, program type, term name, program country, and others. Both Application Automations and Form Automations have the same two available actions...

  • Send Traveler Mailer
  • Add Forms to Traveler

 

Whether you decide to edit or create your own automations, Via will always clearly state what automation type you are working with. Within the Builder/ Automations page, you can sort and easily identify what Automation type you are viewing. 

 

When you've clicked into an Automation from the Builder/ Automations page, Step 1 will note what automation you are editing or making inactive. 

 

When creating a new automation, you can choose between Application or Form Type Automations. You'll immediately be taken to a new Automation that can be created to support your internal processes.
