What are Form Statuses?

All forms have a status. Form status can be viewed by Admins and Travelers at any time.

Admins with adequate permission are able to update form status individually within a specific form or in batch on the form dashboard at any time.  (Click here for more info on how to update Form Status!)


Any time a form’s status is changed, both the Traveler and the Admin(s) receive a notification of the status change in their email inbox. 

There are 4 Form Statuses:

  1. Not Started
  2. Started
  3. Submitted
  4. Accepted

When a form is added to a Traveler Profile, the form status defaults to Not Started. As soon as a Traveler starts a form and saves a minimum of one response, the form status changes to Started. When a Traveler clicks Submit, the form status changes to Submitted.

It is up to your organization to define how to make form statuses work within your unique processes and workflows.

Please note that if an Admin changes a form status back to Not Started and/or Started for a Traveler to edit the form, no data are removed / deleted from the form. Changing the form status to Not Started does not 'reset' the form or remove previously added data to the form. Rather, changing status merely returns the form to an editable state by the Traveler. 

Not Started

All new forms are created in this status by default. Travelers can add content to a form in this status. Travelers can also submit the form, given all required fields are filled out. Admins can always edit the form & change its status.

A form in this status continues to retrieve synced data from the Traveler Info tab in the Traveler’s profile.

Started

Started status typically indicates that the traveler has filled out at least one question and saved their response. Travelers can edit the form and submit at any time, given all required information is filled out. Admins can always edit the form & change its status.

Submitted

Submitted status typically indicates that the Traveler has completed all required fields and submitted their form for Admin review. Once submitted, Travelers can no longer edit their forms. Admins can always edit the form & change its status.

Accepted

Accepted status typically indicates that an Admin has completed their review of the form content and found it satisfactory. Admins can always change its status & edit the form.
