How do I set up Program Alternates for my organization?

The Program Alternates tab in Settings gives Admins the option to turn on Program Alternates in their organization’s Via Global account. It's kind of like turning on the 'breaker switch' for Program Alternates. By choosing to turn on Program Alternates in Settings, Admins set themselves up to be able to ask travelers to provide alternates for a specific program term.

Display Program Alternates

Admins can, at any time, choose to have the option to use Program Alternates per program and term. If Program Alternates is turned on, admins can

  • Opt to ask travelers for alternates on applications to specific internal programs & terms in Program Settings or Suitcases
  • Choose a maximum number of Program Alternates per application 
  • Customize Program Alternate language displayed in the application process

To turn Program Alternates on… 

  1. Click the photo icon in the upper right corner in the main navigation menu
  2. Click Settings
  3. Click the Program Alternates tab
  4. Click the toggle to display ON
  5. Click Save

To have access to the features listed below, Program Alternates must be turned on.

Maximum number of alternates

Admins can select a maximum number of Program Alternates that Travelers can select per program application. Selecting a maximum number does not mean that Travelers must select that number of alternates, they can select up to that maximum number. Travelers can also opt to not select any alternates if they so choose. 

To select a maximum number…

  1. Click the photo icon in the upper right corner in the main navigation menu
  2. Click Settings
  3. Click the Program Alternates tab
  4. Move the slider until you land on the desired maximum number
  5. Click Save

Custom messaging

Travelers interested in starting an application to a program/term for which Admins have requested alternates will see customized language at two different times during the application process:

  1. On the program eligibility screen prior to starting an application
  2. On the alternate selection screen prior to submitting an application

By displaying custom information twice, it ensures a straight-forward and transparent experience for the traveler. 

To customize Program Alternate language…

  1. Click the photo icon in the upper right corner in the main navigation menu
  2. Click Settings
  3. Click the Program Alternates tab
  4. Add custom language based on your processes
  5. Click Save
