How do I create a Plan Automation?

Automations were built based on user research and subject matter expertise. The Plan Type automations use Plan-based triggers, conditions, and actions so that repeat actions occur automatically to save administrators time in their workday.

If admins want to make changes or create new Plan Automations, that power is available for Plan-based automations. Admins have access to the 19 Plan-based mailer automations in the Automation Builder. Admins with permission can edit those automations and/or make them Inactive. Admins can also create their own Plan-based automations using a combination of triggers, conditions, and actions.

When creating new Automations, Via highly recommends developing an organization-wide naming convention so that admins can efficiently identify Automations that they wish to work with or manage. 

To create a Plan Automation to send the Traveler a Mailer...

  1. Click Builder
  2. Select Automation
  3. Click Create New
  4. Select Plan
  5. Enter the Automation Name
  6. Click Create
  7. STEP 2: Select the desired Trigger from the dropdowns
  8. STEP 3: Select one or more Conditions, if needed
  9. STEP 4: Click Send Traveler Mailer
  10. Click Edit/Preview next to the mailer
  11. Complete the requirements
  12.  Active Automation to ON (if you're ready to make it LIVE!)
  13. Click Save

     

    To create a Plan Automation to Admin Traveler a Mailer...

    1. Click Builder
    2. Select Automation
    3. Click Create New
    4. Select Plan
    5. Enter the Automation Name
    6. STEP 2: Select a Trigger from the dropdowns
    7. STEP 3: Select one or more Conditions, if needed
    8. STEP 4: Click Send Traveler Mailer
    9. Click Edit/Preview next to the mailer
    10. Complete the requirements
    11. Select desired recipients
    12.  Active Automation to ON (if you're ready to make it LIVE!)
    13. Click Save

     

    To create a Plan Automation to Add Forms to travelers...

    1. Click Builder
    2. Select Automation
    3. Click Create New
    4. Select Plan
    5. Enter the Automation Name
    6. Click Create
    7. STEP 2: Select the desired Trigger from the dropdowns
    8. STEP 3: Select one or more Conditions, if needed
    9. STEP 4: Select an Action and complete the requirements
    10. Click Edit/Preview next to the mailer
    11. Add a subject, using the tokens provided, if desired
    12. Add a message, using the tokens provided, if desired
    13. Select a Button URL
    14. Add Button text

     

     

     

    To create a Plan Automation to Update a Plan Status

    1. Click Builder
    2. Select Automation
    3. Click Create New
    4. Select Plan
    5. Enter the Automation Name
    6. Click Create
    7. STEP 2: Select the desired Trigger from the dropdowns
    8. STEP 3: Select one or more Conditions, if needed
    9. STEP 4: Select Change Plan Status
    10. Select the Plan Status
    11. Click Save
