What Plan Form Mailers are sent to Travelers?

Travelers receive Plan Form-related mailers in their email inbox. There are 3 types of Plan Form Mailers sent to Travelers.

  1. You Have New Forms
  2. Plan Form Status Change Mailer
  3. Plan Form Deadline Mailer

All Plan Forms Mailers will match the branding preferences saved within Organization Settings.

 

You have New Forms

A Traveler receives this mailer when...

  • Admin adds a Plan Form to a Travel Plan 
  • Admin adds a Plan Form to a Traveler who is going on a Travel Plan
  • Admin adds a Plan Form to any Individual Traveler added to a Plan

 

Plan Form Status Change Mailer

Any time a Traveler’s form changes to any status, the Traveler receives an email informing them of the form status change and encouraging them to view the form.

 

Plan Form Status Change Mailer: Started 

A Plan Form status of Started indicates that new information has been saved within the form. When new data is saved for the first time, Via will email this mailer notification to Travelers. Admins can consider this form to be 'in progress' by travelers.

 

 

 

Plan Form Status Change Mailer: Submitted 

When a Plan Form is submitted, Via will update the Form Status to Submitted and email this mailer notification to Traveler and Admins. A form in the submitted status will be 'ready to review' for administrators.

 

Plan Form Status Change Mailer: Accepted

Plan Forms in the Accepted status are considered to be 'completed'. Once an Administrator updates a form to Accepted, Via will email this mailer notification to Travelers. The Form Status of Accepted can also be considered as the end of the Form review workflow. 

 

 

Plan Form Deadline Reminder

Plan Forms in the Not Started or Started status receive a form deadline reminder 10 days, 7 days, and 1 day before the form deadline. In addition, form deadline reminders are not sent for forms that have a status of Submitted or Accepted.
