Admins with permission can transfer a traveler application from one program term to another.
An admin can transfer an application to any program term with an Application Template attached, this includes internal and authorized/provider programs.
Note that Travelers cannot transfer their own applications. Application transfer must be done by admins with permission.
When transferring an application, admins can select the desired status for the destination program while the original application stays in its current status. Admins can update the status of the original application at any time. During this action, admins also have the opportunity to transfer forms from the original program to the desired destination program.
If an application is transferred from Application Template A to Application Template A, all data from the first application will transfer to the second application.
If, however, an application is transferred from Application Template A to Application Template B, no data will transfer to the second application.
To transfer an application…
- Click Applications in the main navigation menu
- Search or filter for the desired application
- Click the Application Template Name of the desired application
- Click Actions in the Admin Review Panel on the right
- Select Transfer Application
- IF the Traveler has Alternates - select one of the Traveler's alternates or click Other to select from the rest of your program portfolio
- Select the desired Program Name and then Program Term
- Select the desired destination application status under New Application Status
- (Optional) Choose to transfer any traveler forms from
- Click Transfer
- If desired, click to view the Transferred Application
Please note: If a Traveler already HAS an existing application for a program term, Via will NOT show that program term as an option when attempting to transfer an application.
For example...
- Traveler has an application for Program in Egypt for Fall 2026
- Traveler ALSO has an application for Program in Spain for Spring 2027
- Admin starts to transfer the Program in Spain 2027 application
- When Admin selects the dropdown to choose destination programs, Admin WILL NOT SEE Program in Egypt Fall 2026 as an option
In this example, if an Admin still wants to transfer to Program in Egypt for Fall 2026, the Admin can delete the Traveler's original application for Program in Egypt Fall 2026.
Deleting an application will remove all historic records of that application.
