Admins can invite Travelers to events one at a time or in batch.
Event invites can be sent...
1. From within an Event one traveler at a time
2. From within an Event by uploading a CSV
3. By sharing an Event registration link
4. From the Traveler Dashboard
5. From the Application Dashboard
To invite one Traveler to an event from within an Event...
- Click Events in the main navigation menu
- Click on the Event Name
- Click on the Event Participant tab
- Click Invite Travelers
- Click Invite a single traveler instead
- Type the Traveler’s first name, last name & email
- Click Invite
To invite more than one Traveler to an event from within an Event...
- Click Events in the main navigation menu
- Click on the Event Name
- Click Event Participation
- Click Invite Travelers
- Click Download an Invitation Template (do not change the default column headers on the CSV! If you do, the batch function won’t work)
- Remove our Jane and John Doe examples from the template
- Add Travelers, including first name, last name, and a valid email address
- Save the CSV file
- Back in Via Global, upload your CSV by selecting the saved file from your computer or dragging and dropping it into the window
- Click Upload
Admins can also copy and paste a shareable link to an event. There are two ways you can copy the link.
To share the public Share Registration link from the Event Dashboard...
- Click Events in the main navigation menu
- On the dashboard, Events view, click on the Share Registration Link of the desired event (clicking will copy the URL to your clipboard)
- Get the word out there by pasting it into an email, posting it on social media, or adding it to your website!
To share the public Share Registration link from within the Event brochure…
- Click Events in the main navigation menu
- Click on the Event Name
- Click the Share Advance Sign-Up Link (it will copy to clipboard)
- Get the word out there by pasting it into an email, posting it on social media, or adding it to your website!
To invite one or more Travelers to an event from the Traveler Dashboard...
1. Click Travelers in the main navigation menu
2. Search or filter for the desired Traveler or group of Travelers
3. Check the box next to each intended recipient and/or check the box in the header to select all filtered travelers
4. Click Actions
5. Select Event Invite
6. Select the desired Event
7. Click Invite
8. Confirm the invitation/s by clicking Invite
To invite one or more Travelers to an event from the Application Dashboard...
1. Click Applications
2. Search or filter for the desired Traveler or group of Travelers
3. Check the box next to each intended recipient and/or check the box in the header to select all filtered Travelers
4. Click Actions
5. Select Event Invite
6. Select the desired Event
7. Click Invite
8. Confirm the invitation(s) by clicking Invite
