How do I create a Group Travel Plan from a Program Term?

Group Plans are created to track travel for people traveling together. For partners with Via Travel and Via Global, partners can create Group Travel Plans for both Internal and Authorized Terms in batch.  Once created, admins with permission can add travelers to the plan, create itinerary details, add those details to travelers and can manage the plan through filtering and reporting.

When creating Group Plans from Internal Terms or Authorized Terms, plans will automatically be associated with the program terms in Via Global. The Group Plan will also appear within Via Travel's Plans View. Any traveler with a committed application will be marked as 'Going' on the plan's travel roster. 

 

To successfully create Group Travel Plans in batch, Programs must have a Program Name, Term Start Date, Term End Date, and a location saved. If this information is missing, Via will not allow you to complete this action.

After creating a Group Travel Plan in batch, admins with permission can edit them at any time.

To create a Group Travel Plan for Internal Terms... 

  1. Log in as an administrator
  2. Click Programs in your main navigation menu
  3. Click Internal Terms
  4. Filter for your desired Internal Term
  5. Select your desired data row(s)
  6. Click Actions
  7. Select Create Travel Plan
  8. Your Group Travel Plan is created

 

To create a Group Travel Plan for Authorized Terms...

  1. Log in as an administrator
  2. Click Programs in your main navigation menu
  3. Click Authorized Terms
  4. Filter for your desired Authorized Term
  5. Select your desired data row(s)
  6. Click Actions
  7. Select Create Travel Plan
  8. Your Group Travel Plan is created
