How do I batch import Traveler Applications?

Administrators with permission have the ability to batch create traveler applications using the Import Application feature. This functionality is a crowd favorite for institutions where campuses, departments, or units manage their own program enrollment processes external to the Education Abroad office while still having the responsibility of tracking or in charge of reporting on program participation. Once a program brochure with terms are created, the Education Abroad team can utilize this functionality to batch create one or more traveler applications and associate the travelers to the right program.

Based on a partner's SSO and SIS setup, the Enable Data Sync option may not be available.

When batch importing traveler application(s) the following fields are available...

  • Application template (required)
  • Application Status (required)
  • Traveler Upload through CSV Template (required)
  • Enable Data Sync 
  • Send Traveler Notification Emails

If an uploaded traveler does not have an existing Traveler Profile, Via will create it on a traveler's behalf and will be visible on the Traveler Dashboard. 

If admins choose NOT to notify travelers of their existing application, they will not be sent a mailer notification straight to their inbox. The Via team recommends notifying travelers if you would like to them to complete their application or make them aware of other pending tasks to complete.

To create Traveler Applications in batch...

  1. Click on Programs in your main navigation menu
  2. Click on the Internal Terms dashboard view
  3. On the Quick Actions column, click on the Upload Traveler icon next to the Program Term you want to batch create applications for   
  4. Select the Template
  5. Select desired Application Status
  6. If desired, select "Enable Data Sync"
  7. If desired, select "Send Traveler Notification Emails"

A mailer confirmation will be sent to the Program Contact once the batch create application process has been completed. The mailer will confirm the number of successful imports and failed imports.
