How do I add Transportation Details to a Group Travel Plan?

A Travel Plan Detail is itinerary information that can be added to a Plan. Details can be added to Plans by both admins & travelers to be ultimately be associated with travelers. There are 3 different kinds of details in Via Travel:

  1. Transportation
  2. Housing
  3. Activity

All Details are accessed by clicking the Details dropdown in the sub navigation menu, then choosing Transportation Details, Housing Details or Activity Details.

Transportation Details

After an admin creates a Group Plan, they can add various transportation details. Some fields are required to save the detail, while others are not. If an admin does not fill out a non-required field, it will not be displayed on the group itinerary. A Transportation Detail includes the following fields:

  • Transportation Details
    • Detail nickname
    • Transportation detail type*
    • Carrier name*
  • Departure Information
    • Departure date*
    • Departure time*
    • Address search*
  • Arrival Information
    • Arrival date*
    • Arrival time*
    • Address search*
  • Additional Transportation Information
    • Route #
    • Confirmation #
    • Ticket #
    • Seat #
    • Notes
  • Add this detail to all travelers added to this group plan, now and in the future

*indicates a required field in order to save the detail

Detail nickname

An open text field where admins can add a nickname for the detail if desired.

Transportation detail type*

A dropdown field that allows admins to add a transportation detail type. Only one type can be selected per detail. There are 10 transportation detail types are available to add to a plan:

  1. Flight
  2. Ship/Boat
  3. Car/Car Rental
  4. Train
  5. Metro
  6. Bike/Scooter
  7. Walk
  8. Bus
  9. Rideshare or Taxi
  10. Other

Carrier name*

An open text field where admins can include the transportation carrier name to the detail.

Departure date*

A date field that allows admins to choose a departure date of the detail.

Departure time*

A dropdown field that allows admins to select a departure time of the detail.

Departure address search*

An open text field, connected to Google Maps, that allows admins to add a city, country, or specific address for the transportation detail’s departure.

Arrival date*

A date field that allows admins to choose an arrival date of the detail.

Arrival time*

A dropdown field that allows admins to select an arrival time of the detail.

Arrival address search*

An open text field, connected to Google Maps, that allows admins to add a city, country, or specific address for the transportation detail’s arrival.

Route #

An open text field where admins can include the route # to the detail if desired.

Confirmation #

An open text field where admins can include the confirmation # to the detail if desired.

Ticket #

An open text field where admins can include the ticket # to the detail if desired.

Seat #

An open text field where admins can include the seat # to the detail if desired.

Notes

An open text field where admins can detail notes.

Add this detail to all travelers added to this group plan, now and in the future

A checkbox that allows admins to add this detail to all travelers who are already associated with the plan, and all those who will be associated with the plan in the future.
