Admins with permission can transfer a traveler application from one program term to another.
An admin can transfer an application to any program term with an Application Template attached, this includes internal and authorized/provider programs.
Note that Travelers cannot transfer their own applications. Application transfer must be done by admins with permission.
When transferring an application, admins can select the desired status for the destination program while the original application stays in its current status. During this action, admins also have the opportunity to transfer forms and saved responses from the original program to the desired destination program. Admins can update the status of the original application at any time.
If an application is transferred from Application Template A to Application Template A, all data from the first application will transfer to the second application.
If, however, an application is transferred from Application Template A to Application Template B, no data will transfer to the second application.
To transfer an application…
- Click Applications in the main navigation menu
- Search or filter for the desired application
- Click the Application Template Name of the desired application
- Click Actions in the Admin Review Panel on the right
- Select Transfer Application
- Select the desired Program Name and Program Term for the desired program
- Select the New Application Status for the new destination program
- (Optional) Choose to transfer all traveler forms associated to the original program
- Click Transfer
- If desired, click to view the Transferred Application
Please note: If a Traveler already HAS an existing application for a program term, Via will show the hyperlink of the Application Template name along with a 'trash bin icon' that gives admins (with permission) the ability to delete the existing application.
For example...
- Traveler has submitted an application for Program in London for Spring 2025
- Traveler ALSO started an application to Program in Spain for Spring 2025
- Admin opts to transfer the submitted application to Program in Spain for Spring 2025
- Admin will see the Application Template hyperlink for Program in Spain and the ability to delete the application (if desired)
In this example, if an Admin still wants to transfer the application from London to Spain for Spring 2025, the Admin can delete the Traveler's original application for Program in Spain for Spring 2025.
The screenshot below shows an example of what an admin will see when attempting to transfer an application to a program that already has an existing application.
Deleting an application will remove all historic records of that application along with any form data associated.

To transfer an application if a destination application exists…
- Click Applications in the main navigation menu
- Search or filter for the desired application
- Click the Application Template Name of the desired application
- Click Actions in the Admin Review Panel on the right
- Select Transfer Application
- Select the desired Program Name and Program Term for the desired program
- Select the New Application Status for the new destination program
- IF an application appears, the traveler has an existing application for this program and will block the ability to transfer the application. Admins must DELETE the existing application in order to transfer application data.
- (Optional) Choose to transfer all traveler forms associated to the original program
- Click Transfer
- If desired, click to view the Transferred Application
