Do synced data appear on Traveler Applications?

Synced data populate and update from traveler info to applications

If an organization has a custom integration with their student information system and has requested one or more synced fields on an Application Template, when a Traveler starts an application, neither they nor the Admin will be able to edit those fields in Via as they will be read-only and grayed out. If a synced field needs to be updated, the Traveler, or an Admin on their behalf, must navigate to their student information system to update the field there.

Synced data on an application is retrieved from the Traveler Info tab in the Traveler’s profile every time the application is opened. Data will continue to be retrieved depending on the status.

Applications in the following statuses continue to retrieve synced data:

  • Incomplete
  • Submitted
  • In Review
  • Conditionally Accepted
  • Conditionally Approved
  • Waitlisted

Applications in the following statuses do not continue to retrieve synced data:

  • Accepted
  • Approved
  • Nominated
  • Committed
  • Not Accepted
  • Deferred
  • Withdrawn
  • Transferred

To request a data update from your Student Information System to a Traveler's profile data, Admins can click Manual Data Request from within the Traveler Profile. This will trigger a request to the Admin's home campus to send data for that particular student. Via makes the request immediately, however, depending on the home campus IT set up, the data can take 1-2 hours or longer to update.
